Position Introduction
Position Summary
The Travel Assistant provides assistance to all TCE staff for their travel arrangements. Books flights, arranges car rentals, makes hotel reservations, handles travel changes, provides written itineraries, and other travel support duties as needed by TCE traveling staff members. Prepares expense reports and other duties as assigned.
Position Accountabilities
• Responds to all requests for travel needs promptly, including last minute requests as necessary.
• Books flights, arranges car rentals, makes hotel reservations, and writes up travel itineraries.
• Checks on all arrangements to ensure their currency and informs the TCE traveler of any changes.
• Makes any necessary changes in travel arrangements as is requested by the TCE traveler or necessary based on the changes caused by the travel provider.
• Works with our travel vendors to ensure we get the most cost effective rates for all services.
• Must have a thorough, working knowledge of the TCE Travel and Entertainment policy and consistently apply it to each travel plan.
• Researches opportunities for cost savings through other vendors or any other appropriate sources of savings.
• Responds to inquiries and conducts research for TCE travelers who are considering a variety of travel options or who need specific information about the services provided by certain hotels or airlines.
• Arranges conference rooms or business services that may be required by the TCE traveler while they are traveling.
• Keeps track of all travel records for reimbursement purposes.
• Prepares expense reports for each traveler to ensure prompt reimbursement of charges.
• Assists and supports special projects in other departments as assigned.
Qualifications
• Proficiency in Microsoft Office and experience in electronic scheduling, travel arrangements, and reimbursement processes.
• Extremely detail-oriented and accurate with reservations.
• Strong interpersonal and communication skills.
• Excellent organizational skills and the ability to work independently.
Minimum Education & Experience
Minimum Education:
• Bachelor's degree preferred but not required.
Minimum Experience:
• Four to six years administrative support experience in a multi-task, deadline-oriented environment; preferably in a travel office or an office that required extensive travel arrangement duties.
